Security and data protection
Where your data is stored, how your account is protected, and what happens to your data when you cancel.
This page explains how Mailio protects your email and your data: where your data is stored, how your connection is secured, what happens when you cancel, and how to take your data with you.
Where is my data stored?
Mailio runs on a European Open-Xchange based email platform through our platform partners x-ion and Connecteeva. Email, calendar and contacts are processed in Germany. Backups are kept in the EU/EEA, mainly in Germany and Denmark.
| What | Where |
|---|---|
| Email, calendar, contacts | Germany (EU) |
| Backup | EU/EEA, mainly Germany and Denmark |
| Payments (Mollie) | Netherlands (EU) |
| Company | Vores IT ApS, Denmark (CVR 39396939) |
All suppliers are bound by data processing agreements. The full list is in our privacy policy (in Danish).
How your account is protected
- Encrypted connections (TLS): Webmail, IMAP and SMTP use encrypted connections, so others cannot read along, for example on public Wi-Fi.
- Two-factor authentication (2FA): Two-factor login is switched on by default for all accounts. Signing in requires both your password and a code from your phone. It is managed in Mailio Portal.
- Antivirus, antispam and anti-phishing: Incoming email is filtered for viruses, spam and scam messages.
- SPF, DKIM and DMARC: mailio.dk uses the standards that help receiving servers detect fake emails pretending to come from us.
- Regular backups: Email and system data are backed up continuously.
No ads, no profiling
Mailio is funded by subscriptions. We do not scan your email for advertising, we do not sell your data and we do not use your content for profiling. Email is filtered automatically for spam and viruses to protect you.
What you can do yourself
- Use a long, unique password that you do not use anywhere else
- Keep two-factor login switched on – it is the default in Mailio Portal
- Be sceptical of urgent emails or emails asking you to sign in via a link
- Keep your phone, computer and email app up to date
Frequently asked questions about your data
Can I take my data with me if I switch provider?
Yes. Your email can be moved to another provider via IMAP, for example with Thunderbird or another email program. Contacts can be exported as vCard and calendars as iCal (.ics) directly from webmail. You are not locked in.
What happens to my data when I cancel?
Your account runs until the end of the paid period. Once the account is deactivated, mailbox content is deleted after a 30-day grace period, giving you time to change your mind or download your data. After that, data disappears from backups within up to another 30 days, unless the law requires otherwise.
How long are backups kept?
Backups are taken continuously and kept for up to 30 days after data has been deleted from the account itself.
Can Mailio read my email?
We only use the content of your email to provide the service: delivery, spam and virus filtering, backup, and support when you ask us for help. We do not read your email for advertising or profiling.
Do you hand over data to authorities?
Requests from authorities are handled under Danish and EU law. Your data is processed in the EU by a Danish provider and European partners.
Can we get a data processing agreement?
Yes. Businesses and associations with email on their own domain can sign a data processing agreement. Write to privacy@mailio.dk.
What if I regret my purchase?
As a consumer you normally have a 14-day right of withdrawal for online purchases. Mailio is a digital service that we start delivering right after payment. When you buy, you therefore agree to immediate delivery, and the right of withdrawal ends once delivery has started. If we have not started yet, you can withdraw by writing to support@mailio.dk. See our terms and conditions (in Danish).
Service status
Check the service status page to see whether Mailio is running normally and whether maintenance is planned.
Found a security issue?
Write to support@mailio.dk. Abuse, spam and phishing from a Mailio address can be reported to abuse@mailio.dk.
